JOB DESCRIPTION

A Secretary provides personal administrative support to management and the company through conducting and organizing administrative duties and activities including receiving and handling information.

Secretary helps to keep an organization running smoothly, taking care of the administrative and organizational tasks that makes the organization function.

Well-organized and detail-oriented, a successful Office Secretary must be able to multi-task and take instruction from many sources.

Key traits for an Office Secretary are strong interpersonal skills and a positive attitude. In addition to these general skills and personality traits.

DUTIES & RESPONSIBILITIES :

The Secretary has many important duties that require her hands on application. It is difficult for the Secretary to delegate jobs as she is the one in most cases has been delegated the jobs that she is doing.

The Secretary must maintain and coordinate the flow of information both internally and externally. The Secretary must be able to operate all the office equipment and manage the office space including :

  • Performing secretarial duties as to answer telephones and transfer or take messages; manage the in / out faxing, emails and letters, maintain office records, filing and reference, etc.
  • Transfer calls to proper individual and / or department as needed
  • Welcome visitors to the office and provide general support and directions around the building as needed
  • Sort out, produce and distribute incoming correspondence memos, letters, faxes and forms
  • Prepare and manage correspondence, reports and documents
  • Maintain contact list, cars list
  • Coordinate DHL reports
  • Organize and Book travel arrangements
  • Conduct planning, arrangement and coordination of visitors' stay pick-up from / to the airport, transfer and accommodation in hotel or staff house, information support, and coordination of agenda
  • Perform arrangement and further coordination of employees' business trips including Company's special events booking of flight and train tickets, hotels, taxis or corporate cars.
  • Full administration and information support on upcoming trip and follow-up control over all its stages.

  • Fill out Transfer report daily
  • Coordinate and manage cars for business use
  • Update and pass to the security the list of vehicles admissible to the branch territory after the approval of the Branch Head.
  • Obtain invoices, put on database
  • Operate office equipment
  • Manage office supplies
  • Organize accommodation for staff, coordinate report
  • Order and maintain stationery and equipment
  • Arrange in-house and external events
  • Under manager's instruction prepare letters, requests, other documents, answer messages
  • Replacement of employees during their absence (vacation, sickness).
  • Required :

    1+ years related experience

    Higher education

    Knowledge of business principles.

    Proficient in spelling, punctuation, grammar and other English language skills

    Ability to communicate in native language

    Strong organizational skills

    Ability to perform under time constraints

    Good communication skills

    Ability to work in a team environment

    Positive attitude towards health, safety and the environment

    Preferred :

    Experience of producing correspondence and documents
